Policies
BOOKING POLICY:
- A non-refundable deposit of 10% of the tour cost is due upon booking the tour. Full payment is due 72 hours in advance of the tour. Failure to pay in full within the time limit will result in cancellation and loss of deposit.
PAYMENT POLICY:
- Payment can be made either directly at the Club ESL Tours office, to authorized agents and partners, or on-line. The following forms of payment are accepted: cash, debit, traveler's cheques and credit cards. Personal cheques are not accepted. Payment must be made in full 72 hours in advance of the tour. If payment is not made within this time, your spot on the tour will cancelled and you will forfeit your deposit.
REFUND POLICY:
- Refunds will only be issued if the trip is cancelled at least one week prior to departure. The tour is non-refundable within 7-days prior to departure. The tour is also non-refundable if you fail to show up at the meeting spot on time. Please check the map and transit schedule well in advance to ensure that you can get to the meeting spot on time. Emergency Cancellation Insurance is available at the time of booking and recommended to all passengers.
INSURANCE:
- Club ESL Tours strongly recommends the purchase of comprehensive trip insurance. Insurance is non-refundable and non-transferable. If the Passenger chooses to decline the insurance package, a dated signature must be provided. It is the responsibility of the passenger to contact RBC Travel Insurance Company regarding claims at 1-800-387-2487. For further information please contact Club ESL Tours at 604-689-8128. Club ESL Tours will not be responsible for any denied claims by RBC Travel Insurance Company. Eligible expenses may include: cancellation charges prior to departure, trip interruption, excess hospital, baggage, personal effects, out-of-pocket expense, return of vehicle, family transportation benefit, death after departure, and accidental benefits. This is not an insurance policy. The complete terms, condition and restrictions are set out in the insurance certificate.
ROOM OCCUPANCY POLICY:
- Advertised prices are based on maximum occupancy. Rooms may consist of any combination of the following, based on occupancy: one king sized bed, one queen sized bed, one double sized bed, two queen sized beds, two double beds, a pull-out couch, a rollaway bed or a single bed. Upon booking the Trip, should you not provide the names of desired roommates, Club ESL Tours may match you with other passengers based on the chosen occupancy. Club ESL Tours is not in any way liable for injury, loss or damage as a result of roommate matching. Single and double room upgrades are available at an additional cost. TRIP CANCELLATION BY CLUB ESL TOURS:
- Club ESL Tours reserves the right to cancel any Trip in its sole discretion. In the event that a Trip is cancelled, Club ESL Tours shall have no responsibility beyond the refund of all monies paid by the Passenger which shall be deemed to constitute full settlement. Club ESL Tours cannot guarantee weather conditions nor can Club ESL Tours be responsible for any shut downs, whether wholly or partially of the operations of any services in connect with the Trip whether they be caused by weather or for any reason or cause.
PRIVACY:
- Any pictures, video or promotional footage taken by Club ESL Tours or other parties working with Club ESL Tours (which may include Passengers), during the Trip, will be the property of Club ESL Tours and can be used or disclosed and the Passenger consents to the use and disclosure for future promotional purposes. The Passenger also consents to the use and disclosure of any of the personal information collected regarding the Passenger (expect for payment information) to enable Club ESL Tours to inform the Passenger of events and promotions.
